Come Join Our Team! We are looking for a bright, personable Administrative Assistant to provide general clerical support to our Administrative & Management teams. This position will be responsible for a wide and evolving array of tasks and responsibilities. The ideal candidate will have excellent communication & interpersonal skills, and a keenness for accuracy. The position also participates in various task groups and will be responsible for collaborating, researching & providing feedback on various special projects.
Responsibilities
- Enter and track purchase orders
- Complete job start-ups
- Maintain updated certificates of insurance and master contracts for subcontractors and clients
- Assist with quarterly inventory updates
- Process & manage contracts & change orders
- Perform monthly project invoicing & progress billing
- Act as backup receptionist
- Assist Safety Management team
- Company IT & mobile device support
- Assist with event planning
- Payroll support
- Other duties as assigned
Desired qualifications
- High School Diploma or equivalent
- Minimum of 3 years of experience providing administrative support in a service-oriented industry with heavy document management
- Proficiency in MS Outlook, Excel & Adobe Acrobat
- Basic IT troubleshooting ability
- Demonstrated experience communicating professionally via telephone, email and other written correspondence
- Motivation to learn and perform a wide and evolving array of roles & responsibilities
- Ability to develop positive, professional relationships with people of diverse backgrounds
- Strong attention to detail with a keenness for accuracy
- Collaborates well on short & long-term projects, follows established procedures, and formats, and provides constructive feedback
- Experience with accounts payable/receivable and payroll is preferred
- Demonstrated ability to manage and prioritize multiple projects alongside daily task

Pay: $28.00 - $30.00 per hour
