Job NOTICE: RECEPTIONIST / FRONT OFFICE CLERK
Summary: The Receptionist/Front Office Clerk functions as the communications and reservations specialist of the club. Typical duties include answering the telephone, assisting member/guest requests, taking reservations for dining and bedroom, check-in and check-out procedures, emergency response, and any other assigned tasks related to the operation of the front office. To help facilitate operations of the Guest Services team, you will also be cross-trained with our bellman department and may be required to cover bell shifts as necessary for the operations of the club.
Duties and Responsibilities:
1. Answering telephone: must be able to direct calls to the proper department and answer a wide range of questions. Discretion is very important as we may only discuss club business with members.
2. Communication: must be able to communicate well with members, guests, and staff. Should have excellent listening skills and be able to gather and pass on information with little difficulty. Must be able to report any problems or concerns with the manager and others in charge in a prompt manner.
3. Taking reservations: must be able to take and cancel reservations without error. Attention to detail is very important.
4. Knowledge of club traditions and rules: knowledge and understanding of the unique traditions of the club will be helpful in giving out the proper information.
5. Standard of Service: must present a high standard of service to members and guests. A professional demeanor and pleasant attitude is very important. Knowledge and understanding of social etiquette are desired. Expected to offer warm and gracious hospitality in dealing with members and guests.
6. Emergency response: must be able to handle all emergencies such as fire, medical, power shortage, evacuation, etc.
7. Other duties and responsibilities as may be assigned by the management of the club from time to time. This includes, but is not limited to, cross-training with our Guest Services team and covering bellman shifts.
Qualifications: Must have excellent customer service/hospitality skills and the ability to communicate fluently in English using both the written and spoken word. Additional language skills are desirable. Superior communication and telephone skills are required. Must be able to work cooperatively with others and handle multiple tasks without error. Should be able to operate computers with accuracy and moderate speed. Must be able to operate basic office equipment.
Physical Requirements: Standing and/or sitting in a normal seated position for extended periods of time, reaching by extending hand(s) or arm(s) in any direction, finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard. Communication skills using the spoken word. Ability to see within normal parameters, ability to hear within a normal range, ability to move about.
Schedule: The Receptionist/Front Office Clerk’s work schedule shall be determined in accordance with business demands. Typical shifts begin as early as 7:00 a.m. and may end as late as 12:00 midnight Monday through Sunday. However, this candidate must have a flexible schedule to work any shift as needed as the club is open 24 hours a day.
Uniform: The Club will provide a black uniform suit. The Receptionist/Front Office Clerk shall provide all other items of apparel necessary. Attire and grooming shall at all times be conservative, professional, and appropriate to the club’s decorum. Other appearance standards are covered in the Employee Handbook.
Compensation: $29.00/hour.
