We’re searching for a talented Senior Project / Administrative Coordinator to join our team.
Pay Range: $20 - $24 an hour.
Job Overview: The Senior Project / Administrative Coordinator reports to the Company President and provides support in bidding, project and overall office administration. The Senior Project / Administrative Coordinator is flexible and efficient, detail-oriented, works with minimum supervision, and does not mind pitching in with whatever is needed to get the job done for the Company.
Responsibilities and Duties:
· Schedules bids for the President; provide design assistance as needed.
· Reaches out to existing and prospective customers via email and phone on behalf of the President.
· Invoices customers for Sprinkler and Landscaping jobs.
· Helps to track and reconcile purchase orders for project assignment and cost-tracking / cost-saving purposes.
· Responsible for ensuring time cards and timesheets are completed accurately and signed for all employees; assigned as costs to the appropriate customer invoice, and then collated for submission to weekly payroll processing.
· Tracks above tasks in spreadsheets and reports for review by the President.
· Provides administrative and reporting support for the President; coordinates Company office and administrative work with other office employees supporting the Owners and the Company.
· Project Implementation Coordinator for new online time-tracking system, onboarding all employees as users and ensuring that all employees understand and consistently use the new system.
· Assists Owners with ordering supplies and coordinating deliveries.
· Answer phone calls in a polite and professional manner, directing calls and messages appropriately.
Other projects as assigned.
Qualifications:
EDUCATION, EXPERIENCE AND SKILLS REQUIRED
- Minimum of 2 years of experience as a Senior Project / Administrative Coordinator for a landscaping or construction business; or in a similar role.
- Minimum of 2 years of experience in Accounts Payable, Accounts Receivable and financial report creation.
- Self-motivated, proactive, and forward-thinking, with the ability to work independently.
- Advanced knowledge of Microsoft Excel, MS Office and timekeeping platforms.
- Working knowledge of QuickBooks.
- Diplomatic, tactful, and able to maintain Company confidentiality.
- Exceptional attention to detail and organizational skills.
- Strong work ethic and willingness to collaborate with all team members.
- Excellent written and verbal communication skills.
- Ability to effectively communicate with individuals at all levels, both internally and externally.
- Strong multitasking skills in a fast-paced team environment.
