Location: Lahaina, HI

Schedule: Monday-Friday, 8am-5pm (with every other Saturday)

Job Description:
As an Administrative Assistant, you will play a vital role in supporting the daily operations of our office and providing assistance to our team of employees. This position requires strong organizational skills, attention to detail, and the ability to multitask effectively.
Key Responsibilities:
Travel Coordination: Coordinate and manage travel arrangements and logistics for approximately 65 employees, including interfacing with hotels, rental properties, and rental car companies.
Expense Management: Reconcile employee travel expenses and maintain accurate records.
HR Support: Assist with employee hiring and onboarding processes.
Document Management: Manage project and employee files, ensuring information is organized and easily accessible.
Reception Duties: Greet visitors, answer phone calls, and handle general inquiries.
Facilities Management: Schedule meeting spaces, order office supplies, coordinate FedEx and mailing services, and manage janitorial services.
Business Process Assistance: Support weekly business processes such as payroll and accounts payable.
Data Tracking: Maintain tracking sheets of cost activities and other relevant data as needed.
Qualifications:
Proven experience as an administrative assistant or in a similar role.
Proficient in Microsoft Office Suite and office management software (e.g., MS Excel, MS Word, Outlook).
Strong organizational and multitasking abilities.
Excellent communication and interpersonal skills.
Attention to detail and problem-solving skills.
Ability to work independently and collaboratively in a fast-paced environment.
